The College of Islamic Studies (CIS) provides a unique platform that contributes to critical intellectual debates on Islam in a global context, through its blended academic programs and immersive learning experience, as well as its distinguished research division, which includes several research centers and clusters.

HBKU’s College of Islamic Studies (CIS) is inviting applications for the position of Student Support Officer. The applicant will be responsible for facilitating the academic, administrative, and logistical needs of CIS students from enrolment through to graduation.


Key Responsibilities

  • Provide support to all CIS students, including international and local students, to ensure they receive the assistance needed throughout their academic journey.

  • Prepare scholarship contracts for prospective students in accordance with HBKU and CIS policies, ensuring all financial aid processes are compliant and properly documented.

  • Verify and approve students' monthly stipends in coordination with the CIS Finance Controller and HBKU Finance, ensuring timely disbursements and financial compliance.

  • Manage visa and travel requirements for international students, maintaining accurate records of visas to ensure compliance with Qatar’s regulations and coordinating with relevant stakeholders for smooth relocation.

  • Coordinate with the Student Housing Department to secure appropriate accommodation for students throughout their stay.

  • Maintain an up-to-date record of both local and international students, including contact information, to facilitate accurate communication and support services.

  • Maintain an updated list of CIS alumni and provide them with necessary updates on CIS activities to encourage ongoing engagement and support their outreach initiatives.

  • Monitor the student employment program in collaboration with HBKU Student Affairs to ensure opportunities for students' career development are provided.

  • Help with student outreach initiatives and activities to promote engagement and participation among students.

  • Assign students to workstations in the building in coordination with HBKU Facilities.

  • Address all student inquiries and issues during their study period to resolve concerns and provide the necessary support.

  • Submit all official admissions forms to the relevant HBKU admissions and registration departments to ensure accurate student records and compliance with university policies.

  • Arrange visits for international academic groups, as well as local and international site visits and trips for CIS students.

  • Facilitate participation in academic conferences and events by handling student conference requests and managing all required logistics.

  • Report and follow up on malfunctions or glitches in students’ systems and services to University Facilities & Support Services (UFSS) until resolved.

  • Perform other reasonable tasks as assigned by the supervisor.


Qualifications and Requirements

  • Bachelor’s degree in a relevant field.

  • 2–5 years of relevant full-time work experience in an educational institution.

  • Excellent knowledge of academic policies, procedures, and systems.

  • Basic financial and record-keeping skills, including processing payments and maintaining accurate data.

  • Strong skills in data management, interpretation, evaluation, and reporting.

  • Excellent organizational, communication, and planning skills.

  • Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is an advantage.

  • Proficiency in MS Office applications.
